Operations AR - Exporting Payment Remittance Files

Within the Kodaris Employee Portal, you have the option to manually download a bank EDI lockbox and/or a spreadsheet file to upload to your ERP in order to apply payments manually.  

However, it is important to note that Kodaris fully supports an automated flow for this process that does not require manual intervention. 

The Kodaris ERP connectors offer near real-time data flows to Kodaris. This means that when something is invoiced in an ERP, it will flow to Kodaris and be available to your customers. When payments are made, they will also be fully applied to your ERP.  This makes for a closed-loop, automated process.

When it comes to payment details and remittance, Kodaris acts like the bank, generating the same type of EDI lockbox files your bank would generate. But the customer also creates the remittance as they are making payments. This eliminates cash application errors. Kodaris automatically uploads those files to your ERP, so those payments are auto-applied and you’d receive a report after application.

Depending on the software your company uses, most ERPs, like Infor and Microsoft, support this type of automated flow. How Kodaris connects to the cloud provider and deposits these files is usually worked on in conjunction with your IT team to ensure a seamless connection. 

If, for any reason, you do not have this capability, need to manually apply payments, or want to run tests, you have the ability to manually download these files for upload to your ERP.

To do this, you’ll navigate to the Accounts Receivable tab. From here, you will customize your grid to show the data you require for remittance. 

Once the grid contains all the information necessary for remittance, you can download the file by clicking on the download icon in the top right-hand corner. 

A pop-up box will appear with information to complete before downloading. 

First, you will choose if you want to mark the payments within this file as exported once you go through with the download. Next, you will determine if you want to include payments that have already been exported in the past. The third option is to choose the file format. There are a few options, among which are EDI820, EDI823XML, and .CSV. Finally, you will enter the start and end dates for the transactions you wish to pull. 

Once all applicable fields are complete, click “Pull” to download the file. From here, your downloaded file can be uploaded to your ERP.
