Assigning Attributes to Products by Importing

Once Filter Categories and Attributes have been set up for your commerce site, you will be able to assign attributes to products.

While you can assign attributes to products individually by product code and also in Attribute Assignments data grid, it can be helpful to update many product attributes by using the attribute assignment import in the portal.

To assign attributes by importing, you will need an exported list of products from the Attribute Assignment tab in the portal.

Attribute Assignment imports will only update information from the attribute columns – no other product information will update with this import.

Exporting Product Data for Attributes

  • Navigate to "Products" under the PIM section in the Portal
  • Select the "Attributes Assignment" tab

You will want to select the columns you want to export by choosing the "Show/Hide" icon. If you reference the same columns every time, it may be helpful to save your filter selection for future use.

Depending on your workflow, some helpful columns could be:

  • Code – this is a required column as the product code is needed for the import.
  • Name – can be helpful when assigning attributes.
  • Created – if not using the PIM system, you may find it helpful to sort products by the created date to find newly added products.
  • PIM Status – if you are using the Kodaris PIM system to track the status of products, it is helpful to have this column selected - especially to filter on "COMPLETE" products and only export those products ready to be updated with attributes.
  • PIM Attribute Status – if you are using the Kodaris PIM system to track the status of attributes, it can be helpful to have this column selected as well – especially if you would like to filter on products ready for attributes and in the "UPDATE" status.
  • Attribute Columns – these columns are needed to assign attributes to products. You can choose up to twenty attribute columns, which means you could have up to twenty attributes assigned to each product.

  • Go to "File"
  • Select "Export"

  • "Save as" dialogue box will appear
  • Rename the file if needed, then click "Save" to export the file

Note: If you are exporting a large amount of data, it may take a little time to complete the export. The file will download and save to your computer.

Below is an example of exported product data from the attribute screen – as you can see, the export only includes products with the PIM Status of "COMPLETE" and the pimAttributeStatus (PIM Attribute Status) of "UPDATE".

Now that your spreadsheet is set, you are ready to add attributes to products.

Adding Attributes to Products

Since you have all of your attributes set up in the portal, now you only need to access the attribute codes and add the desired attributes to the spreadsheet.

To access all attributes created in your portal:

  • Navigate to "Attributes" under the PIM section in the Portal
  • Choose the columns that you would like to see in the grid
  • Use the search field to find the attributes that are needed

  • Copy and paste the desired attribute codes to each product in the spreadsheet
  • If using the PIM workflow, update the pimAttributeStatus to QA if the product information will need to be checked – or COMPLETE if no QA is required.
    • Note: If you wish to update the PIM status or PIM Attribute status by importing, this will need to be done on a separate import – these columns will not update with an Attribute Assignment import.
  • Export completed spreadsheet as CSV file

Importing Product Attributes

  • On the Products screen, select the "Attribute Assignment" tab
  • Choose "File" > "Import" > "Default Attribute Assignment Mapping"
  • Once you have selected the import type, you will be prompted to select the file you would like to import.

The "Default Attribute Assignment Mapping" import will assign the attributes to products and will not affect any existing attributes already assigned to that product in the portal.

Important! The import function is quick – once you upload the selected file, the data in the file is created or updated. So please be sure to choose the correct file to import and have your file prepared correctly.

It may take a couple of minutes to complete an import if it is a large file. You may see a time-out notification if the file is large, but this does not mean the import failed. It will still be running in the background.

Importing PIM Attribute Status

If you are using the PIM workflow and would like to update the PIM Attribute Status by import, this is a separate import and will need to be completed using the Data import in the Product grid.

Using the same info from the attribute spreadsheet updated previously, you will only need the code column and the pimAttributeStatus column to update the PIM Attribute Status when importing.

  • Export the spreadsheet as a .CSV file

  • Navigate to "Products" from the PIM section in the Portal
  • Select the "Data" tab

  • Choose "File" > "Import" > "Default Product Mapping Update Only"
  • Once you have selected the import type, you will be prompted to select the file that you would like to import – choose the file that has only the code and pimAttributeStatus information, and once the file is imported, the attribute status will be updated.
