Operations AR - Emailing & Mailing Monthly Statements

Through the Kodaris platform, you can email and mail monthly statements to your customers. The monthly statements consist of all open invoices per customer and can be set up to mirror statements from your ERP. 

All of the data needed to create digital and paper statements exists in the Kodaris platform, which is connected end-to-end with your ERP. If you would like to automatically upload your invoices and statements to Kodaris for emailing and mailing, that is possible. You can even have Kodaris retrieve documents from an external document system as well.

You have the ability to leverage these features to work in conjunction with how you do business. Ultimately, you have the flexibility to choose how you process statements. For example, you can choose to internally process statements only for customers who want mailed paper copies and allow Kodaris to process the emailed statements, you can handle both emailed and mailed statements, or Kodaris can process all statements for you. Any workflow combination will work seamlessly in the Kodaris platform. 

Emailing Monthly Statements

As mentioned, you can easily email a digital copy of monthly statements to your customers. The customers who will get emailed statements are those who are selected in your ERP to receive emails from you. 

Your customers can access these same statements electronically whenever needed, as well. This self-service experience largely eliminates the need for your customers to contact you via email or phone to request this information. 

To locate statements within the Customer Portal, they will select the “Documents” tab on the left-hand side of the main navigation bar in the Kodaris Customer Portal.

Here, they will find all available documents including their monthly statements. Once the desired statement is located, they can select the preview icon to view the statement and the download icon to download the file. 

It’s important to note that your statements can be formatted to match your company’s look and feel so that it’s completely personalized to your brand.

Along with your customers, you can also view their statements on the Employee Operations Portal by clicking on “Companies” on the main navigation bar. 

This screen will show a list of all your customer accounts. Find the customer whose statement you wish to view by scrolling or searching their name or company code in the search bar at the top of the grid. 

Once the customer is located, click the arrow within the customer’s row to view more details.

Next, click on the arrow on the top of this screen until you find the tab labeled “Customer Files”. 

Within this tab, you will see all the documents that are available to your customers in their accounts. The statements will be located here. Click on the preview icon to view the statement and the download icon to download the file. 

Mailing Monthly Statements

If any of your customers need to receive physical statements, Kodaris has a seamless integration with our mailing partner, Datamatx. Datamatx specializes in printing and mailing statements and invoices through the USPS. 

If this is a feature you want to leverage, whether it’s for all or just a few of your customers, this integration will be set up by Kodaris’s implementation team in conjunction with your IT team. Statements containing all open invoices can be configured to be automatically sent to Datamatx on a daily basis.
