Managing Employees

Within the Employee section of the Operations Portal, you can set employee profiles, contact information, address, job title, spending limits, and account access based on permissions from the employee Details screen.

There are two areas within the Employees section: the Details tab and the Notifications tab.

Details Tab

Profile Information

Your employee's details are managed in this section – first and last names and a choice of language if your site is multilingual.

Contact Information

Contact information is essential to reach your employee via email or text message, if they are opted in to receive alerts. Therefore, a primary and secondary email, as well as phone number, should be entered.

Address

The address allows the system to determine the employee's location. The system uses the country and the physical address, including the postal code, to pinpoint the location.

Employment

This section includes your employee’s details include Position, Title, and whether they are a contact for Accounts Payable or Accounts Receivable.

Ordering

This setting determines whether the employee can place orders via a purchase order; if this is set to "Yes," the employee can enter a PO number at checkout to place an order. If this is set to"No," the employee will only be able to request quotes. You can also set an employee’s spending limit; if an employee places on order over the set spending amount, the order will be put into a status where it needs to be approved before going through.

Account Access

The user can be allowed or denied access to an account based on permissions set by the company admin. Select “Yes” to enable the user to log in to the account, or select “No” to deny access.

Permissions

The company admin can set the level of permissions for each employee by selecting from a robust list of options. Customization of what the user can access is based on permissions.

Permissions range from Company Admin, which can view and manage everything on the account, to View Assigned Location Quotes, which only allows the user to view quotes placed on locations they are assigned.

Notifications Tab

You can set specific notifications for an employee, and notifications can be sent via email or SMS text message. To activate a notification, simply check the box next to the type of notification you want the employee to receive. Types of notifications can include notifying an employee when an order was placed, when an invoice is paid, or when an order is delivered.
