Operations AR - Responding to NACHA Audit Requests

Kodaris provides NACHA (National Automated Clearinghouse Association) compliant customer payment processing. In order to comply with the NACHA Rules and Regulations requirements, Kodaris’s customers may be selected for transaction reviews or audits from time to time. If you are selected for a transaction review, you will receive an email directly from the processor’s risk management department.

As part of the review, Kodaris’s payment services provider will select several recent payment transactions and request the related authorization forms that allow you to debit the customer’s account. The review requires you to share the payment authorization documents with them to ensure they contain language that meets NACHA requirements and that the process and procedures for gathering information are adequate. 

Because Kodaris is compliant with NACHA Rules and Regulations, responding to these requests is simple and quick. Before your customers can vault payments in the Kodaris Customer Portal, they must agree to the payment terms and conditions. Doing so is easy for your customers. With just a click of a button, they can agree to these terms and conditions, which, in turn, creates the payment authorization documents for you. These documents are then stored under your customers’ files within the Kodaris Operations Portal.

This process is secure and automated from the very beginning, ensuring that you are prepared for a request or audit at any given time; it requires only a few clicks to obtain the necessary documentation to share with the payment services provider.

How to Download Payment Authorization Documents in the Kodaris Operations Portal

To respond to a request, you will need to download and provide the Terms of ACH Service agreement that is stored within the Kodaris Operations Portal.

To locate the form, navigate to “Companies” on the main menu and select the company from which the requested transaction is from. Next, select the “Internal Files” tab. This is where the document will be stored. It will be titled “Terms of ACH Service” or something similar. Click on the document to view it or the download icon to download.
